Administrative Assistant to the Director of Religious Education

The Diocese of Nashville seeks qualified candidates for an Administrative Assistant to work with the Director of Religious Education at Sagrado Corazón. The church provides liturgies, ministries and sacraments for approximately 1500 registered families as well as other unregistered members who attend. This is a full-time position providing administrative and clerical support to the Director and the Diocesan Hispanic Ministry. This position is generally on duty Monday through Friday during the regular daytime business hours of the Catholic Pastoral Center and requires occasional night and weekend duty.

  • Using software applications, prepares correspondence, forms, labels, records, lists, etc. Ensures accuracy of grammar, punctuation, spelling, dates, names, titles, and addresses.
  • Processes departmental mailing.
  • Classifies, sorts, and files correspondence, articles, records, and other documents for the Religious Education Program.
  • Reviews, responds, and directs emails for Religious Education Program for Sagrado Corazón and Hispanic Ministry.
  • Receives and sorts mail or packages for Religious Education Program for Sagrado Corazón and Hispanic Ministry.
  • Assists church members with information regarding activities and sacraments for Religious Education Program.
  • Coordinates with Assistant to Director regarding the updates to the master calendar for Religious Education Program activities such as meetings, sacraments, retreats, etc.
  • Maintains and updates the calendar of appointments for the Director of Religious Education.
  • Obtains needed documents prior to sacraments being administered.
  • Prepares and issues sacramental certificates.
  • Coordinates with the Assistant to Director regarding sacramental and office supply needs.
  • Assists as needed in answering phone calls for Sagrado Corazon and Hispanic Ministry.
  • Regular work attendance.
  • Performs other duties as assigned by the Director of Religious Education.
  • High school diploma, college degree preferred.
  • At least one year of administrative support experience within an office environment in an administrative support role.
  • A practicing Catholic, with strong knowledge and understanding of Catholic teachings, practices and organizational structure.
  • Computer skills for word processing, office publishing, spreadsheet and data management, internet, and website design and maintenance.
  • Ability to work nights and weekends on occasion.
  • Bilingual skills: English and Spanish
  • Must be able to perform mail merges and create spreadsheets.
  • Ability to use standard office equipment such as copiers, postage, and fax machines.
  • Excellent secretarial and organizational skills.
  • Ability to maintain the highest level of confidentiality.
  • Flexibility in meeting the demands of the office.
  • Professional demeanor in all interactions.
  • Ability to alphabetize, spell, and use correct grammar and punctuation.
  • Effective telephone etiquette.
  • Willingness to submit to and successfully complete a criminal background screen.
