Hours: 7:00 am- 3:15 pm (or as specified)

General Description:

The receptionist of St. Cecilia Academy is often the first point of contact for the students, parents, prospective families, benefactors, alumnae, vendors, visitors, and members of the larger community, and thus should see themselves above all as an ambassador for the school. The receptionist should be dedicated and enthusiastic about the Catholic mission and vision of St. Cecilia Academy and express this commitment in the warmth, care, and professionalism with which he or she greets guests and addresses inquiries.  The receptionist serves as a liaison between the school and the community and helps to coordinate communication within the school and campus community about events and shared projects. This position works closely with the administration of St. Cecilia Academy, referring issues to them, keeping them abreast of events, and helping them coordinate visitors and schoolwide projects or events.

Primary Responsibilities

  • Answer phones and inquiries and direct calls and questions to the proper party
  • Greet all guests graciously and provide welcome to visitors
  • Monitor front doors and safety cameras throughout the school
  • Addresses and directs student needs (ex., telephone calls, permits to class, sign-outs, special forms, forgotten items, monitors students in the clinic, etc.)
  • Assist faculty and staff with securing substitute teachers in case of emergency
  • Assist Director of Student Affairs in entering attendance data into online record-keeping system; call parents of absent students who we have not heard from
  • Collect lunch money from the deposit box and prepare it for business office
  • Assist with school safety drills and serve as a member of the emergency response team
  • Distribute and collect employee keys and coordinate key ordering with campus Director of Security
  • Handles bell schedules to change them as the daily schedule requires
  • Other duties as specified by the principal of St. Cecilia Academy

Requirements and Personal Traits:

  • Bachelor’s degree (preferred)
  • At least 3-5 years work experience in a school or service profession
  • Demonstrates full support in word and action of St. Cecilia Academy’s Catholic mission and values
  • Carries out daily tasks in a professional, gracious, and polished manner that reflects positively on St. Cecilia Academy
  • Ability to communicate clearly and congenially with various stakeholders
  • Organized, efficient, and takes initiative
  • Able to balance multiple demands and tasks with calm, good humor, and good judgment
  • Ability to refer questions, problems, and concerns to the proper authority
  • Discreet and professional, with a commitment to confidentiality about the personal and school matters of the St. Cecilia Academy and Dominican Campus community
  • Committed to being an ambassador for St. Cecilia Academy


Summer responsibilities

  • Unlock all doors and turn off all alarms in the mornings
  • Compile and coordinate summer maintenance and cleaning requests
  • Sets up new voice mails, e-mails, faculty room mailboxes, and keys for new employees. Deletes all of the above for departing employees
  • Clean supply room, faculty room closet, and vault
  • Assists Admission and the Academics office with June/July mailings
