Purpose: To provide secretarial/clerical support, day-to-day financial and operational services, and computer input/output services for the parish and parish office operations.

Principal Duties and Responsibilities:

  • Maintains records for the parish office (i.e. financial contributions, and other      appropriate parish records, as required).
  • Collects, processes, and records all parish donations from various locations      (including those of the St. Thomas Outreach Program and other subsidiary      groups of the parish)
  • Performs data entry for all parish giving and other events into the PDS income      sources and total in general ledger
  • Keeps a paper record of “diocesan” collections and records their timely payment
  • Prepares and processes automated on-line giving records (using the VANCO system), as well as the parish general ledger
  • Provides computer input/output services for accounting, member, and census purposes
  • Prepares vouchers, including coding and payment of outstanding invoices
  • Keeps a record of bills to be paid and pays them in a timely manner
  • Collects receipts and special requests from authorized parishioners in order to      process reimbursements
  • Coordinates all bill payments with the Pastor & Finance Committee personnel
  • Prepares all checks for the Pastor’s signature and for mailing
  • Assembles and mails all checks along with appropriate paperwork
  • Assists diocesan staff and parish finance committee to reconcile parish accounts,      ledgers and account balances
  • Prepares financial statements as requested
  • Accountable for following parish policies related to the security of Parish funds
  • Supplies volunteer stewardship counters with necessary material for their task
  • Prepares sealed bank deposits for the bank and records all receipts
  • Other duties as assigned


  • Experience with MS Office products (Word, Excel) is required, MS Publishing &      Power Point is preferred
  • Proficient data entry skills applicable to software systems is required
  • Ability to relate and communicate verbally and in writing with diverse populations      is required
  • Ability to grasp quickly the parish office functions is required
  • Ability to maintain confidentiality in all matters is required
  • Previous training on, or applicable experience using computer hardware and software is required
  • 3-5 years in general office setting, working with the public, is required
  • High School degree or GED certificate required
