Special Events Coordinator

The Diocese of Nashville Mission Support Office (MSO) seeks qualified candidates for the position of Special Events Coordinator for the office of Stewardship and Development. This regular full-time position supports Diocesan fundraising events, works with staff and leadership to assist with planning, coordinating, and implementing events designed to raise funds for and to promote community awareness of the Diocese of Nashville programs and ministries. Responsible for working with an assigned portfolio of donors and prospects to increase event sponsorship. The MSO is in the Catholic Pastoral Center in the Donelson neighborhood of Nashville. This position is generally on duty Monday through Friday during the regular daytime business hours of the Catholic Pastoral Center. This position will require travel throughout Middle Tennessee and attendance at some evening meetings and events. This position reports directly to the Director of Stewardship and Development.

  • Work in collaboration with the Director of Stewardship and Development and the Annual Fund Coordinator to research and solicit new and existing donors to support special events. Perform complex administrative duties, exercising confidentiality, independent discretion, and judgement.
  • Represents the Diocese of Nashville in a positive manner at all times, including working with staff, volunteers, and vendors.
  • Provides staff support and leadership to event chairs and related committees formed to help secure sponsors and participants. Support may include keeping records, preparing meeting notices and minutes, handling correspondence and meeting with event committees.
  • Coordinators work with external and internal audiences including vendors and donors.
  • Assist with planning, implementation and production of all fundraising events including vendor relationships, budgets, and event logistics.
  • Event Material Oversight: Works with vendors and other offices to develop materials related to events including external communications, printed event materials (including but not limited to signage, programs, nametags, etc.) and event scripts, social media, and electronic communication strategies.
  • Creates and maintains all special event timelines and schedules.
  • Works at special events as directed including preparation, set-up, event execution and tear-down.
  • Conducts formal post-implementation review and analysis to determine future improvements to continually increase productivity and stewardship effectiveness of Diocesan events.
  • Assists in performing regular administrative duties in a timely and efficient manner; including but not limited to recording and tracking donor pledges and payments, reviewing and submitting event related invoices for payment, writing acknowledgment and thank you letters, assembling donor solicitation packets, creating and updating donor/program related forms, researching both monetary and in-kind funding sources, writing solicitation letters, executing mass mailings and data entry.
  • Event Sponsor Project Development: Works to identify, cultivate, solicit, and steward appropriate donors of $1,000 level or higher with an emphasis on maximizing revenue through events for the Diocese of Nashville. Update donor records in donor management system (Raiser’s Edge) following all donor interactions.
  • It is the responsibility of all Diocese of Nashville staff members to recruit, train and work with volunteers and to treat all clients, volunteers, guests, and other employees in a courteous and respectful manner at all times while maintaining a cooperative atmosphere for everyone.
  • Carries out additional assignments required to fulfill the Mission of the Diocese of Nashville.
  • Bachelor’s degree required; advanced degree is preferable.
  • Minimum 2 years of special events experience, nonprofit events preferred.
  • Minimum 2 years fundraising experience preferred.
  • Significant expertise with the area’s funding community highly desirable.
  • Progressive experience in successful development programs and knowledge of “best Practices” in development.
  • Ability to relate well and work effectively with multiple constituencies and audiences.
  • Excellent written and verbal skills.
  • Proficient in Microsoft Office Suite
  • Proficient in fundraising database systems (Raiser’s Edge preferred)
